SUBJECT: Custodial Contract for FY07-08
MEETING DATE: May 7, 2007
RECOMMENDATION: Based on the bids received, staff recommends the award of bids as
follows:
City Hall Above and Beyond Janitorial $12,960
City Hall Annex Above and Beyond Janitorial $ 6,300
Public Library Above and Beyond Janitorial $70,800
Al Stiff Professional
Building Above and Beyond Janitorial $22,740
Shop Complex MT Building Maintenance $ 8,340.72
Water Treatment
Plant Office Above and Beyond Janitorial $ 2,400
The total award of bid for the year totals $123,540.72. This price will be approximately $4,000
less than we are currently paying. The award will be for the upcoming fiscal year and does have
a provision for annual extensions with a cost of living adjustment.
Commission Action: Direct staff to negotiate a contract with the bidders as outlined and
authorize the City Manager to sign the contract for custodial services for city-owned
buildings for fiscal year 2007-08.

BACKGROUND: The City of Bozeman contracts for custodial services for six major
municipal facilities including: City Hall, City Hall Annex, Public Library, Professional Building,
Shop Complex, and the Water Treatment Plant office area. Bids for the upcoming fiscal year
were opened on March 21. We received a total of 5 bids. One of the bidders did not include the
required bid bond and one bidder, who was high on all categories, requested that his bond be
released.
The current contract for FY 06-07 for all six buildings totals $127,605.50. The level of service
the City requires from a vendor is outlined in the General Conditions and the Frequency and
Work Schedule in the bid package.
Staff has conducted interviews with the lowest responsive and responsible bidder for each of the
City Buildings. References were also called for the two companies that are under consideration
for award. A short survey was also sent out to key people in each of the buildings to determine
their level of satisfaction with the current vendor and to accept suggestions for items that need to
be brought to the attention of the cleaning vendors.
Based on the survey results staff will review the Frequency and Work Schedule with the vendors
to make sure they understand the City’s expectation for a level of service and make sure that the
vendors will be able to meet that service level for the bid price.
FISCAL EFFECTS: A dollar amount was included in the budget request for Facilities. The
source of funds is general fund money for all buildings except the Water Treatment Plant which
is an enterprise fund.
ALTERNATIVES: As suggested by the City Commission.
