BABAB Chair:
1. Chair meetings of BABAB after developing the monthly agenda in consultation with membership (use consensus procedures
or Robert’s Rules as appropriate/needed).
2. Review and if necessary offer corrections to monthly meeting minutes.
3. Ensure that members have the information needed to do their
jobs.
4. Ensure that BABAB work is well distributed among members.
5. Actively participate in BABAB initiatives and provide leadership consistent with balance in personal life
and sharing the burden of advancing BABAB purposes with other Board members.
6. Monitor and manage (through agenda-setting) BABAB commitments to ensure success (avoiding over-commitment
or under-achievement).
7. Monitor member fulfillment of commitments to BABAB business and initiatives (including communication outside meetings as needed).
8. Facilitate annual
evaluation of the performance of BABAB in achieving its mission.
9. Appoint the chairpersons of sub-committees, in consultation with the other Board members.
10. Serves as ex officio
member of sub-committees and attends their meetings when invited.
11. Manage BABAB meeting logistics (key, location, getting agendas and minutes to City Clerk, etc.).
12. Support involvement
of liaisons, e.g., from/to SRTS, Ped & Traffic Safety Committee, Parks & Rec Board, MSU Concrete Reform, etc.
13. Coordinate new member orientation.
Vice Chair Job Description
This
position is successor to the Chair position.
1. Perform Chair responsibilities when the Chair cannot be available.
2. Assist with BABAB meeting logistics or other leadership tasks
per consultation with Chair.
3. Provide leadership in fulfilling BABAB mission.
4. With Chair collaboration, develop and propose officer transition plans and new Board member recruitment.
5.
Participate in the Board by fulfilling the duties expected of all BABAB Members.
Board Secretary Job Description
1. Take notes and develop minutes for each monthly meeting; include
decisions made on-line during the previous month.
2. Ensure minutes are distributed to members shortly after each meeting.
3. Maintain and ensure effective management of BABAB
records.
4. Ensure the completion of forms and documents needed by the board.
5. Provide a year-end list of BABAB accomplishments for board self-evaluation.
6. Participate in
the Board by fulfilling the duties expected of all BABAB Members.
Board Treasurer Job Description
1. Manage Bicycle Benefits program – make assignments to BABAB members for business liaison, ensure businesses are contacted and have what they need,
collect funds from sales of stickers.
2. Manage finances of the organization in the BABAB city account.
3. Oversee any other fundraising efforts of the board.
4. Research and
complete grant applications if desired and manageable.
5. Monitor use of BABAB fund, ensure reimbursements for expenditures.
6. Provide accounting reports and budget recommendations
to the Board.
7. Participate in the Board by fulfilling the duties expected of all BABAB Members.
Information Manager Job Description
1. Manage BABAB website, post permanent
information (not discussion forums) and train members in how to participate via Ning.
2. Keep archives of all electronic discussions and decisions using Ning.
3. Monitor the appropriateness
of posts.
4. Keep BABAB supporters list for e-mailings.
5. Serve as coordinator or liaison for published materials (e.g. map, info cards, submissions to local press).
6. Participate
in the Board by fulfilling the duties expected of all BABAB Members.
Sub-Committee Chair Job Description (Sub-Committees appointed as needed)
1. Set tone for the committee work.
2.
Develop with the committee the work that must be done and the strategic plan for carrying out that work.
3. Ensure that members have the information needed to do their jobs.
4.
Oversee the logistics of committee’s operations.
5. Report to BABAB Chair and Vice-Chair
6. Report to the full board on committee’s decisions, actions and recommendations for full
Board decisions.
7. Assign work to the committee members, set the agenda and runs the meeting, and ensure distribution of committee meeting minutes.
8. Participate in the Board
by fulfilling the duties expected of all BABAB Members.
Bike to Work Week Coordinator Job Description:
✓ Engage the Board in envisioning the desired events of the week, and the
outreach that will bring the desired participants to these events;
✓ In sufficient detail that you’ll know when it is achieved, write down the steps that need to happen to get
those events organized and that outreach completed;
✓ Work backward from the week’s events to establish the deadlines for each step;
✓ Define the specific tasks that will
achieve each step;
✓ Describe the resources and time needed for each task;
✓ Recruit volunteers so you can assign each task to a volunteer;
✓ Give each volunteer a list and a deadline of what they've agreed to do;
✓ Keep all volunteers and the Board informed of what’s happening, who’s doing what, and when milestones
are achieved (e.g., publicity events);
✓ Check in with each volunteer at a halfway point till their deadlines, and again a few days or a week ahead of their deadlines to make sure
they understand their task, have the knowledge or resources they need to follow through, and that they remain committed to the deadline;
✓ Draw up a schedule for “staffing” each
component of the week’s events and sign volunteers up as needed;
✓ Email the week’s schedule to all volunteers, and post it to Ning;
✓ Monitor the week’s events and address
“emergencies”;
✓ Complete the week and celebrate!

Board Member Expectations

Take a vital interest in the welfare of bicyclists
in the Bozeman area, and increasing use of bicycles for transportation;
Bring to bear on BABAB business personal and/or professional knowledge of bicycling in the Bozeman area, and of
opportunities for infrastructure, policy or educational improvements;
Engage capacity to: see the big picture, strategically analyze issues, imagine possible solutions, and focus on
details of implementation;
Commit time to participate fully –
✓ show up (participate in at least 10 of 12 meetings in a year, which may include on-line participation in cases of
unavoidable conflicts with meeting times),
✓ review agenda information through on-line decision forums,
✓ participate on-line between meetings when business is pressing,
and
✓ commit to actions (knowing and respecting your own limits) that further board purposes;
Be trustworthy - follow through on commitments in a timely fashion, and communicate
to other Board members about that follow through (via email, Ning or meetings);
Attend meetings prepared with agenda and accompanying materials; notice common interest among members
and seek to invent win-win proposals;
Support (or be loyal to) group decisions once made;
Engage in board development or evaluation activities as opportunities arise, and attend required
City ethics training.
