HomeMy WebLinkAboutAward bid for Mini Excavator Commission Memorandum REPORT TO: Honorable Mayor and City Commission FROM: John Alston, Water/Wastewater Operations Superintendent Craig Woolard, Public Works Director SUBJECT: Award bid for Mini Excavator and Trailer FY13 Capital Improvement Program Project No. WW23 MEETING DATE: AGENDA ITEM TYPE: Consent Agenda RECOMMENDATION: Award bid in the amount of $64,685.00 to RDO Equipment Company of Belgrade Montana. BACKGROUND: FY13 Capital Improvement Project WW23 is for the purchase of a mini excavator to be used by Water/Wastewater Operations Department and the Street Department and is funded equally by the three departments. After reviewing the two bids submitted on the 2012/2013 Mini Excavator, neither excavator met the following bid specifications: • Diagnostic fluid sample ports will be included. • Unit shall have float function. The Hitachi 50D meets or exceeds our requirements with 1 more minor exception: • Unit shall have work lights front and rear. The Hitachi has rear work lights. The Case CX55B was the second bid that came in at $62,047.00 which was $2,818.00 less than the Hitachi. The Case has 8 more exceptions including 1 major exception: • Hydraulic System minimum swing speed shall be 9 RPM Revolutions per minute. Case is 8.9 RPM. This exception coupled with our crew’s operation during an onsite demonstration of both excavators led to our choice of the Hitachi. After reviewing both bids the Vehicle Maintenance Department also recommends the Hitachi 50D. The trailer will be purchased separately. UNRESOLVED ISSUES: None ALTERNATIVES: As suggested by the City Commission. FISCAL EFFECTS: This item is in the FY13Water/Wastewater, Street CIP and budget. $75,000 was budgeted for the Mini Excavator, which is $10,315 more than the bid price of $64,685.00.
