HomeMy WebLinkAbout09-25-12 Tourism Business Improvement District MinutesTourism Business Improvement District Minutes of Meeting September 25, 2012 Chamber of Commerce Building, Bozeman Montana Present: Daryl Schliem (Executive Director) Jim Robbins (Sales Development) Board Members: Andrew Ash , Lynn Bendz (sec/treas), Larry Lambert (president), Steve Sparks Advisory Board Members: Sandra Hodge, Melanie Stocks, Dan Rust City Commission Liason: Public: Matt Sease (Super8 Bzmn), Darin Barbe (Lambert Hotels), Chris Naumann (GV Lacrosse League), Petra Gunther (Grantree Inn), Larry Lambert opened the meeting at 12:00 with a round of introductions. He then asked for disclosures, and there were none, except that Larry had called each board member for reminders and to discuss the meeting agenda. Larry asked if there was any public comment and there was none. The minutes of the last meeting were approved on a motion by Andrew Ash, 2nd by Lynn Bendz, all signaled approval. Daryl Schliem gave an abbreviated financial report due to a problem accessing the Quickbooks program. Essentially, not much has changed since last month when we had $113,000 in the bank. He was able to answer a question from Larry Lambert concerning how much money has been budgeted for events this year: $30,000. Chris Naumann submitted a grant application requesting $4000 to help sponsor a May 2013 Lacrosse tournament here in Bozeman. It has been held in Missoula for several years and this is an opportunity for Bozeman to start getting some of those hotel nights. They are estimating 450 hotel rooms over a 2 day tourney, for a total of 635 room nights. At $65 per night, that would be $41,275 or more than 10 times our $4000 investment. Lynn made a motion to support this event with $4000, 2nd by Steve Sparks, all signaled approval. Larry Lambert spoke on creating an events committee which would instigate various activities which could draw spectators and /or contestants to Bozeman. Butte has been very successful and is known at the Festival City. Perhaps a Bozeman Octoberfest? A 1 Fly fishing derby? Since our meetings and convention business hasn’t been stellar, maybe this is an avenue to pursue. There was agreement by everyone to give it a try. Motion to form such committee by Lynn, 2nd by Steve, all approved. Jim gave the marketing report. Flying Horse was hired by the cvb/tbid combined marketing agency selection committee. Jim explained how the funds would be utilized. The approved budgeted amount for summer and winter from the TBID and CVB would be drawn down as projects occurred. Any marketing projects falling outside of the state CVB regulations would be covered by TBID dollars. Steve Sparks spoke of difficulties some TBID areas are having in getting support from all the hotel and motels within their districts. We are fortunate in Bozeman to have 100% of the hotels enlisted in our efforts. Jim gave a recap of the Mega Fam tour. We allotted $1050 towards this event, and apparently $100 is coming back to us; it wasn’t all used. 7 hotels presented to the tour operators. Larry suggested that all hotels get any leads generated from this, not just the 7 hotels who showcased their properties. Meeting adjourned at 1:15pm. Next meeting Oct 23.
