Minutes of Meeting May 3, 2011

• Tim Kuhlman opened the meeting at 12:10pm, asking for any disclosures. There were none.
• Tim K. asked for any public comment and there was none.
• Approval of the last meeting minutes were approved on a motion by Lynn Bendz, 2" by Andrew Ash.
• The financial report was discussed. Our balance is $34,948.72. Motion to accept the report by Andrew
Ash, 2nded by Tom Stenzel, all voice approved.
• Jim Robbins reported that the $2000 we spent adding a 3rd night to the recent fishing event did not turn
into 200 additional room nights as hoped. His best estimate was that we got an additional 75 to 100
motel nights out of it. Jim felt that part of the poor turnout was due to the short notice we were given
about this event--that in the future we should try to get at least 90 days of advance planning.
• We have gotten a request for funding of the NCAA ski tournament on March 7-10 , 2012. Melanie
stocks said this is the same weekend as the Boys/Girls AA basketball tournaments. This will be an
action item for discussion and decision at our next meeting.
Melanie Stocks gave the tournament report. A brochure of upcoming tournaments is at the chamber
front desk.
• Jim Robbins discussed different methods for the TBID board to make recommendations to the city about
future TBID board vacancies. We have to maintain a board that is balanced according to the size of
motels: i.e. small, medium, and large. Jim presented a breakdown according to the number of rooms per
property: small would be less than 60 rooms, medium would be 60 to 119 rooms, and large would be
everything above 120 rooms. Under this plan, presently in Bozeman there would be 5 large motels, 9
medium motels, and 13 small motels. There are almost 2030 rooms. Some of the motel
owner/representatives at the meeting felt that the motels themselves should vote on future TBID
members, and that the board should stay out of it. Chris Mehl reiterated that only the city council has
authority to vote people onto the board, and our recommendations could potentially be ignored. In the
end we decided not to make any changes to the current procedure; that anyone who wants to be on the
board just submit their names to the city council. There will be 2 positions opening up this summer.
• Jim Robbins gave an update on his winter leisure marketing efforts. There was agreement that we
should do some outdoor advertising before the summer season heats up. This will be an action item at
our next meeting.
• Jim gave a report on his meeting in Chicago with the Affordable Meeting Group. He feels that he got
several leads, and one good lead out of it: a soil and water convention meeting.
• RMI training for interested motels with be this Thursday at 2pm here at the Chamber building.
• The convention center meeting was well attended and the next meeting on this subject is June 3.
• Meeting adjourned at 1:45pm.
