SUBJECT: Lower Yards paving – Contract Award
MEETING DATE: August 8, 2011

RECOMMENDATION: Authorize the City Manager to sign the Notice of Award to award the
contract for the Lower Yards Paving Project, Schedule 1, to Big Sky Asphalt, Inc. in the amount
of $58,987.44.
BACKGROUND: Bids were opened July 12, 2011, for the Lower Yards Paving project. The
project consists of asphalt paving improvements to the gravel parking area around the new
Vehicle Maintenance Building. The project was broken into two schedules to allow for flexibility
of award to meet the available budget. Schedule 1 consists of paving the area immediately
around the Vehicle Maintenance Building. Schedule 2 consists of paving the area on the
northerly portion of the yards adjacent to existing storage sheds. Three bids were received, with
the low bidder being Big Sky Asphalt, Inc. of Bozeman, MT in the amount of $58,987.44 for
Schedule 1 and $24,009.95 for Schedule 2. The bids appear to be competitive with the low bid
being approximately 13% below the construction estimate ($95,422.55, total both schedules). A
copy of the Certified Bid Tabulation is attached.
UNRESOLVED ISSUES: None
ALTERNATIVES: As suggested by the City Commission.
FISCAL EFFECTS: Adequate funds are only available to complete Schedule 1. The
total project cost including base bid, 5% contingency, and compaction and concrete testing is
estimated to be $63,936.00.
