SUBJECT: Approval of Change Order #7 for the Lower Yard Vehicle Maintenance
and HRDC Bus Barn to modify the height of the parts counter and install a counter window in
the parts office.

RECOMMENDATION: Authorize the City Manger to sign Change Order #7 for the Lower
Yard Vehicle Maintenance and HRDC Bus Barn to modify the height of the parts counter,
(CP#14), and install a counter window in the parts office, (CP#15), for a total of $1,097.80.
BACKGROUND: The city side of the new facility will have the garage bay area where the
actual repair of the vehicles will occur. Next to the bay area is a secured parts and equipment
area. The areas will be separated by a partial wall.
After reviewing the plans with vehicle maintenance staff they identified some minor changes to
the layout that would improve the safety, comfort, and efficiency of their operations. The
changes include raising the height of the parts counter from sitting height to standing height and
the installation of a sliding parts counter window between the two work areas.
The counter height was specified and bid as a 36 inch high counter. After reviewing the way this
counter will be staffed and the kind of transactions that will occur, the crews are requesting an
adjustment to the height of the counter to 42 inches. This height would be more ergonomic for
people conducting business on both sides of the counter in a standing position. Cost for the
substitution of a higher counter is $550.00.
The separation wall between the two work areas is open. The proposed change would install a
sliding window between the two areas. The window would moderate the noise from the shop,
and improve the comfort level in the parts area. Cost for the window and installation is $547.80.

UNRESOLVED ISSUES: None related to this proposed Change Order.
ALTERNATIVES: As suggested by the City Commission.
FISCAL EFFECTS: The modifications to the work area are owner initiated changes and
would be covered in the 12% Project Contingency. Activity to date under the contingency
includes:

COMMISSION RESOLUTION NO. 4257
A RESOLUTION OF THE CITY COMMISSION OF THE CITY OF BOZEMAN,
MONTANA, APPROVING ALTERATION/MODIFICATION OF CONTRACT
WITH BN BUILDERS, BOZEMAN, MONTANA.
WHEREAS, the City Commission did, on the 5th day of October 2009, authorize award of the bid
for the Construction of the Vehicle Maintenance Building and HRDC Bus Barn to BN Builders, Bozeman,
Montana; and
WHEREAS, Section 7-5-4308, Montana Code Annotated, provides that any such alterations or
modifications of the specifications and/or plans of the contract be made by resolution; and
WHEREAS, it has become necessary in the prosecution of the work to make alterations or
modifications to the specifications and/or plans of the contract.
NOW, THEREFORE, BE IT RESOLVED by the City Commission of the City of Bozeman,
Montana, that the proposed modifications and/or alterations to the contract between the City of Bozeman, a
municipal corporation, and BN Builders, Bozeman, Montana, as contained in Change Order #7, attached
hereto, be and the same are hereby approved; and the City Manager is hereby authorized and directed to
execute the contract change order for and on behalf of the City; and the City Clerk is authorized and directed
to attest such signature.

PASSED AND ADOPTED by the City Commission of the City of Bozeman, Montana, at a regular
