SUBJECT: Dissemination of Anonymous Public Comments
MEETING DATE: July 6, 2009 Consent Agenda
RECOMMENDATION: Approve directing the City Clerk to place a hard copy of anonymous public
comment in a file located in the Clerk’s Office and to notify the Commission that anonymous public
comment has been received and is available for review at the Clerk’s Office.
BACKGROUND: The City Commission receives public comment in many different ways including:
oral, written and email. The City Clerk’s office then disseminates these comments to the Commission
for review by forwarding emails, sending pdf copies, and supplying hard copies. Some public comments
that have been received by the Clerk’s Office do not include the sender’s name. The Commission has
asked in the past that these comments not be forwarded to them. In order to treat all anonymous public
comment the same, the Clerk’s Office is asking that the City Commission direct the City Clerk to place
a hard copy of anonymous public comment in a file located in the Clerk’s Office. The Commissioners
will then be notified by the City Clerk that anonymous public comments have been received and are
located in the office for review. These comments will not be forwarded via email but will still be
available for review by the City Commission and the public.
The Following standards apply:
Emails
Emailed public comment must include sender’s full name in the body of the email. The email address
alone will not be sufficient.
Written
Full name must be included.
ALTERNATIVES: As suggested by the City Commission.
