SUBJECT: 2009 Water Renovations Project
MEETING DATE: 6/1/09
RECOMMENDATION: Approve and authorize City Manager to sign the Notice of Award.
BACKGROUND: Attached is a copy, of the Notice of Award for the above referenced project. This
is the biannual water main replacement project and this year consists of replacement of existing mains
with the installation of approximately 5,015 LF of 8" ductile iron water main and appurtenances. The
work areas are generally described as: N. 10`'' Ave., Main St. to Lamme St.; N. 9"' Ave., Main Street to
Lamme St., N. 8`h Ave., Lamme St. to Beall St.; Lamme St., N. 10`h Ave. to N. 8`h Ave.; N. 5`" Ave., Main
St. to Lamme St.; Lamme St., N. 5`h Ave. to N. Grand Ave.; and N. Willson Ave., Main St. to Lamme St.
Additionally at the intersections of Mendenhall with 5`h, 9~', and 10~' the mains will be replaced on
Mendenhall back to existing valves to provide for easy testing, and to complete the replacements in the
intersections.
FISCAL EFFECTS: Bids for the above-referenced project were opened on May 19, 2009 with 7
bids being submitted. The low bid was submitted by Edstrom Construction, Inc in the amount of
$711,735.00. The Bid Tabulation for the project is attached. The project is currently funded in the water
fund in the current fiscal year at $1,000,000.00.

CONTRACT FOR: 2009 Water Renovations Project
You are notified that your Bid opened on May 19, 2009, for the above Contract has been considered. You are the
apparent Successful Bidder and have been awarded a Contract for the: 2009 Water Renovations Project. The Contract
Price of your Contract is: Seven Hundred Eleven Thousand Seven Hundred Thirty Five Dollars ($ 711,735.001.
Five (5) copies of each of the proposed Contract Documents (except Drawings) accompany this Notice of Award. Three
(3) sets of the Drawings will be delivered separately or otherwise made available to you immediately.
You must comply with the following conditions precedent within fifteen (15) days of the date of this Notice of Award,
that is, by
You must deliver to the OWNER Five (5) fully executed counterparts of the Agreement including all the
Contract Documents and Drawings.
You must deliver with the executed Agreement the Contract Security (Bonds) as specified in the Instruction to
Bidders (Article 20), and the General Conditions (paragraph 5.01).
List other conditions precedent:
You must deliver with the executed Agreement the Certificates of Insurance as specified in the General
Conditions (Article 5) and Supplementary Conditions (paragraphs SC-5.04 and SC-5.06).
Failure to comply with these conditions within the time specified will entitle OWNER to consider your Bid abandoned, to
annul this Notice of Award, and to declare your Bid Security forfeited.
Within ten (10) days after you comply with these conditions, OWNER will return to you two fully signed counterpart of
the Agreement with the Contract Documents attached.
