HomeMy WebLinkAboutAward bid for one 2009 Structural Firefighting Apparatus Commission Memorandum REPORT TO: Honorable Mayor and City Commission FROM: Anna Rosenberry, Finance Director Jason Shrauger, Fire Chief SUBJECT: Bid Award for one (1) Structure Fire Engine for Station Three MEETING DATE: March 2, 2009 RECOMMENDATION: Recommend award of bid for one (1) 2009 Structural Firefighting Apparatus to Sutphen Corporation. BACKGROUND: The Fire Department solicited bid proposals for a new structural firefighting apparatus for the new Fire Station Three. On Wednesday, February 4, 2009, one bid was received and opened. Fire apparatus are highly technical, specialty pieces of custom made equipment and we anticipated receiving a maximum of two bids based on the minimum requirements of our specification. Careful consideration was given to the single bidder and through our review it was noted that they fully met our specifications. Delivery time for this apparatus is between 9 and 11 months. The bid contained several different options for prepayment to assist in decreasing the overall cost associated with this apparatus. A minimum of 25% down is required to place the order with options for 50%, 75% and 100% each with a slightly increasing discount. The Fire Department is comfortable with the 75% option and would prefer not to pay the total price until delivery. 55 FISCAL EFFECTS: The full funding for this apparatus as bid is currently budgeted in the department’s equipment and capital reserves fund. The following deductions can be realized by making a 75% down payment. $449,420.66 Bid Price $5617.76 Deduction (75% down) $443,802.90 Final Selling Price ALTERNATIVES: As suggested by the City Commission.
