This approach is aligned with manufacturer recommendations, City operational needs, and best practices for municipal facilities with diverse equipment types, ages, and usage profiles. Preventative Maintenance Approach We will provide scheduled preventative maintenance for all HVAC equipment identified in the Request for Proposal, including boilers, furnaces, air handling units, chillers, heat pumps, exhaust systems, energy recovery ventilators, unit heaters, and associated controls. Maintenance activities will supplement the City’s in house efforts and focus on major mechanical systems and components requiring specialized technical expertise. All services will be performed in accordance with manufacturer guidelines, applicable codes, and industry standards to minimize unplanned downtime, extend equipment life, and optimize system performance. Service Schedules and Frequencies Preventative maintenance will be performed on annual and semi annual cycles, with service frequencies tailored to equipment type, criticality, and operating conditions: • Semi Annual Services (typically spring and fall) outlined in proposal FS02888 ◦Boilers, furnaces, air handling units, heat pumps, chillers, energy recovery ventilators and primary cooling equipment ◦Seasonal start up and shut down inspections ◦Combustion and safety checks where applicable Service visits will be coordinated with City Facilities staff to minimize disruption to building occupants and critical operations, particularly in public safety and emergency response facilities. Inspection and Maintenance Scope During each scheduled visit, our technicians will inspect, test, clean, adjust, and document all applicable system components, which may include: • Heat exchangers, burners, ignition systems, combustion air and air conditioning systems • Electrical components, safeties, and control sequences • Motors, belts, bearings, and drives • Coils, filters (inspection only), dampers, and airflow components • Pumps, valves, and hydronic connections associated with serviced equipment • Visible signs of wear, corrosion, leaks, or performance degradation Any deficiencies, safety concerns, or recommended corrective actions identified during maintenance will be clearly documented and communicated to the City for review and authorization prior to repair. 10 | FACILITY SERVICES Apollo Mechanical Contractors HVAC PreVentAtiVe MAintenAnCe - City of BozeMAn fACilities Staffing and Resource Allocation Services will be performed by qualified, experienced HVAC technicians with demonstrated expertise across a wide range of commercial and municipal equipment. Staffing levels will be scaled appropriately for the size and complexity of each facility and scheduled service event. Our current staffing levels are approximately 80% utilized. These utilization percentages demonstrate that our team remains active but not overextended. Apollo is a Union contractor with the ability to quickly resource additional qualified technicians, should the need exist. Apollo has relationships with a wide range of equipment and parts suppliers to ensure the best possible cost and availability for our customers. Apollo maintains the necessary tools, equipment, and infrastructure to support a citywide preventative maintenance program, including: • Fully equipped service vehicles stocked with standard parts and tools • Combustion analyzers, digital gauges, refrigeration recovery units, hydronic testing instru-ments, and manufacturer specific diagnostic tools • Shop facilities for equipment staging, light fabrication, and material management • Safety equipment including fall protection, confined space access gear, ladders/lifts, and PPE A designated service coordinator will act as the primary point of contact for the City, ensuring consistent communication, efficient scheduling, and timely follow up on findings, recommendations, or corrective work. Documentation and Reporting Complete and transparent documentation is a core element of our proposed solution. Following each maintenance visit, the City will receive detailed service records that include: • Equipment serviced and maintenance tasks performed • Inspection results and operational observations • Noted deficiencies and recommended actions • Technician comments and service dates Maintenance records will be provided in a clear, organized format suitable for long term asset tracking and review. Documentation can be delivered electronically to support the City’s record keeping and facility management needs. Communication and Continuous Improvement Our preventative maintenance program emphasizes collaboration and continuous improvement. We will meet periodically with City Facilities representatives, as requested, to review equipment condition trends, discuss recurring issues, and identify opportunities to improve reliability or reduce lifecycle costs. This proactive, partnership driven approach ensures that the City of Bozeman receives consistent, high quality service while maintaining full visibility into the condition and performance of its HVAC infrastructure. © All Rights Reserved Confidential and Proprietary: May not be disclosed to any third party without written consent City of Bozeman Bozeman Facilities HVAC Preventative Maintenance FY26-FY30 Semi-Annual Mechanical Investment Service Proposal Date: 2/4/2026 Proposal Number: FS02888 Prepared for: City of Bozeman PO Box 1230 Bozeman, MT 59771 Prepared by: Tony Dzick 509-532-2190 tony.dzick@apollomech.com Page | 2 MAINTENANCE AGREEMENT FOR ENVIRONMENTAL SYSTEMS Company Proposal Date: 2/4/2026 Apollo Mechanical Contractors Proposal Number: FS02888 11505 E Trent Ave. Spokane Valley, WA 99206 Agreement Number: Ph: 509-532-2190 Fax: Bill To Identity Agreement Location City of Bozeman PO Box 1230 Bozeman, MT 59771 Attn: Max Ziegler City of Bozeman PO Box 1230 Bozeman, MT 59771 Attn: Max Ziegler Apollo Mechanical Contractors will provide the services described in the maintenance program indicated below. Our operational metrics demonstrate consistent volume, balanced scheduling, and strong responsiveness. Currently We are operating with 8 HVAC Journeymen, 3 HVAC Apprentices, 3 Service Plumbers and 3 sheet metal tradesmen. This division is projected to add 2-3 more HVAC journeymen an 1 HVAC Apprentice to accommodate 2026 projected workloads. • 200 active service contracts currently managed across municipal, commercial, and industrial facilities. • 50 preventative maintenance visits per month, integrated into seasonal PM rotations and technician routes. • Average of 80 monthly corrective/emergency calls, handled through our routine service work- flow and on call response system. • Large project activities are performed by a separate construction division, ensuring service staffing is rarely diverted from maintenance and repair responsibilities. This structure ensures our technicians remain engaged while maintaining the flexibility needed to take on additional PM workload. Available Capacity Apollo maintains significant service capacity across all mechanical trades: • HVAC technicians maintain roughly 20% open availability, allowing for additional PM visits, seasonal checks, and corrective tasks. • Controls, Plumbing, and Sheet Metal teams all maintain 25% capacity, enabling rapid response and integration of new scheduled work. • PM work for the City of Bozeman fits well within our available technician hours and can be incorporated into existing service routes without requiring additional staffing. • Our 24/7 service coverage model further ensures continued capability for after hours needs, emergency response, and seasonal system demands. This available capacity allows Apollo Facilities Services to take on the Bozeman portfolio immediately without requiring operational adjustments. 23 | FACILITY SERVICES Apollo Mechanical Contractors HVAC PreVentAtiVe MAintenAnCe - City of BozeMAn fACilities f) Recent and Current Work for the City of Bozeman Although Apollo has not completed specific projects for the City of Bozeman, the company has successfully delivered multiple education, healthcare, and commercial projects in the Bozeman area over the past seven years, with a total contract value exceeding $39 million.
