Public Comment – No Public Comment Approval of the Minutes Action Trustee Pawlak moved to approve the minutes from the March 20, 2024, meeting. Trustee Redburn seconded. There was no further discussion. The Board voted unanimously to approve the minutes. Action/ Discussion Eastside Easement update Gregory stated that City Community Development Department staff and City Attorney Greg Sullivan are working with representatives of the property owner on a document regarding a continuation of the property owner's historical use of a small strip of land that abuts the northeast corner of Library property for the property owner’s drive setback. This is not an arrangement to increase use of Library property but to update the historical use. The current property owner purchased the former antique/junk shop that faces Main Street and will continue to need the easement in order to access the rear of his building. Gregory will bring completed documents for the Board’s review and approval at a future Library Board meeting. Action: no action taken, just discussion and update provided. Correspondence Highlights “You guys are great! Thank you. My brother really likes drawing and Pokémon and we kept looking for Pokémon drawing books and found nothing. 4 Maybe try to keep adults out of the teen corner. Please enforce “Quiet” Don’t people realize they are in a Library. This is w/out a doubt the loudest I have ever been in!!! Start the sunflower lanyard for invisible disabilities. Please figure out a way to dim your new Hula-hoop lights! They are too bright for daytime comfort! I have to squint to walk thru the hallway! Ugh! Thank you. It seems to me that there should be more guidelines for how the homeless use the Library, which is for the purpose of looking for a book, reading a book or working at a computer- not sleeping. I brought my granddaughter to the Library today and two homeless men are crashed- one on a chair and one taking up a whole couch. I know this is a sensitive issue, but why can’t the use of the Library be limited to the purposes said and clearly not for sleeping, which is a slippery slope. Thanks.” Reports Director’s report - - Director Gregory provided her report to the Library Board prior to the meeting. Highlights were reviewed. Library security provided on weekends continues to make the Library a safe place for patrons and staff. Weekend Library staff have told Director Gregory that they feel much more secure and appreciate the support. The Library is working with Invictus Security to bring one of their officers to the Library on weekend afternoons. Security presence has meant an immediate drop in disruptive incidents that staff have had to handle in the past. We continue to work with the Bozeman Police Department (BPD) regularly and they have been incredibly helpful to us for years. Library administration made the decision to hire officers from Invictus Security on a temporary basis until the Bozeman Police Department has more officers and is able to be in the Library on a more frequent basis. Department Heads’ Highlights – Department reports were provided to the Board prior to the meeting. City Commission Library Liaison - City Commissioner Jennifer Madgic shared that Commissioner Coburn has resigned. The appointment process to fill Coburn’s position is open until May 30th and a new City Commissioner will be appointed at the June 4th Commission meeting. Library Foundation- Foundation Director Johnson stated that the Library Foundation Board has committed to be more involved with public library advocacy on a city, state, and national level. The Foundation is planning to start a “Library Ambassador” program that will consist of three or four sessions with Library staff members and give Foundation Board members and donors the opportunity to learn about both the Bozeman Public Library and issues facing libraries all across 5 the country, such as book challenges. The Foundation is committed to supporting the Freedom to Read Freely. Friends of the Bozeman Public Library (FOL) - Friends Vice-President Brittany Eilers reminded those present of the Friends’ Used Book sale this weekend in the Library’s Community Room. Book Donation Drop-off events are also planned for May 11th, June 8th, and July 13th, 2024 at the Library. FOL volunteers will unload donations from vehicles and sort them by type for storage until the next sale. BACKGROUND:Bozeman Public Library Policies UNRESOLVED ISSUES:N/A ALTERNATIVES:N/A FISCAL EFFECTS:N/A Attachments: Lost and Found Policy Donation Policy Report compiled on: May 8, 2024 8 Lost and Found Policy The Circulation Department of the Library is the central location for lost and found items. Lost and found items will be dated and stored in the Circulation Department in the appropriate lost and found location (crate, file drawer, or safe).  Lost and found items will be dated. Reasonable attempts will be made to contact the owners to reclaim their lost items. If the owner of the lost and found items visits the library and satisfactorily identifies the item, the item will be returned to the owner.  Items not claimed within four weeks become library property. Unclaimed books will be sold at the Friends of the Bozeman Public Library book sale, added to the collection or disposed of. Unclaimed money will be donated to the Friends of the Bozeman Public Library. Clothing will be disposed of, or donated to a charity as appropriate.  Precious items (gold, jewelries, watches, phones, and electronic devices, accessories including credit cards, check books and wallets) will be turned over to the Bozeman Police Department.  Used items such as food, personal care, baby bottles or water bottles etc. will be disposed of immediately.  Bicycles that are chained to the bike rack for longer than five days will be removed and turned over to the Bozeman Police Department.  Suspicious or banned substances will be turned over to the Bozeman Police Department.  Other unclaimed items will be disposed of in a manner to be determined by the Library Director. The Library is not responsible for personal belongings left unattended anywhere on Library property. Personal items left by patrons are subject to disposal. 9 DONATION POLICY Bozeman Public Library is grateful for gifts of books, periodicals, DVDs, music CDs, audio books and other materials which are an important supplement to our collection. You may drop off donations at the Circulation Desk when the Library is open. Patrons often have questions about donations of used materials: How do you determine if the book is in good physical condition? Books with brittle pages, mildew damage, or torn and/or missing pages will not be added to the library collection. Does the Library need textbooks? Textbooks are generally not accepted unless they are recent publications of popular subjects. Does the Library need encyclopedias? Encyclopedia sets are generally not accepted unless they are historical or considered a collectible. Does the Library accept audio/video materials? Yes, we want DVDs, music CDs and audio books. We no longer accept phonograph records. Does the Library want back issues of magazines? Yes, if they are titles to which the library subscribes. If the library does not need to replace missing issues, current magazines will be placed on a free material table in the lobby. Does the Library accept antique books? The Library welcomes donations of antique and collectible books most of which will be priced according to actual value and be sold at the Friends of the Library's used book sale. Please remember that donated materials become the property of Bozeman Public Library. If they are not selected by the staff for the collection, they may be sold at the Friends of Bozeman Public Library book sale. During this week, Jonathan provided sub coverage for service desks within the building along with completing inventory and preparatory tasks for the mobile library’s operation. Additionally, the bus received a deep cleaning by the City of Bozeman’s Facilities Department on Tuesday, April 16th. These conferences represent an amazing opportunity for staff to meet, network with, and learn from their peers across the state and nation. At the Montana Library Association conference Hilary Woodard stepped into her Senior Co-Chair position for the Public Library Division and Sarah Widger was passed the gavel for her Presidential year of the MLA. Volunteer Month Thank you to the Friends of the Library for sponsoring our April Volunteer Appreciation Week! 52 plants were given to the library and Friends’ volunteers as a token of thanks for their hard work. Library Information Cards We recently updated the library’s eLibrary brochure, to include more general information about services and program offerings. During that time: 13,173 people visited the library building and the bookmobile Staff answered • 2,923 reference questions, 353 of which were related to Early Literacy • 3,967 policy and procedure questions (what do I need to get a library card, how can I use the Work Bench, etc.) • 1,328 directional questions (where is your nonfiction section) • 351 folks were shown how to use the self-checkout units In April 2024, 29,049 people visited the library building! Montana State Library Certification: Congratulations, Emma Treut! In early May, Emma Treut received her MSL staff certification, representing 60 continuing education credits earned in a four-year period. Here she is pictured fixing the library’s disc buffing machine.
