Questions/Answer for City Attorney Case Management Software:
1. Whether companies from Outside Canada can apply for this?

2. Whether we need to come over there for meetings?
We may prefer in person training.
3. Can we perform the tasks (related to RFP) outside Canada?

4. Can we submit the proposals via email?
Yes – as stated in the RFP.
5. Would CJIS compliance within a window of 6 months meet the criteria?
Yes
1. For accessing Case Management System, how many out of 50 users will need full rights
(upload, edit cases) and how many will need read-only rights (only view the cases or
participate in workflow process)?
In the system we are using now 2 people have full rights and the other 8 users can edit
cases and participate in the workflow process.
2. Is City’s preference more towards Cloud based Case Management System or On-Premise
Case Management System?
Cloud based
3. Do you have budget already available for this project? If yes, what is the maximum
budget you are planning to spend on this project?
We have seen products that range in prices from $25,000 to $65,000.
4. How many cases do we need to handle?
2000 criminal cases. If we choose to use the system for our civil case load there will be
many more.
5. We have experience in working with GIS, Dynamics SL, Dynamics GP, SharePoint, Tyler
Eden, BS&A Licensing and Permitting Software, Accela, DocuSign and many more
software. But we do not have two clients for JustWare Conversion related. Are we
eligible to bid for this RFP?
Yes. We will evaluate your proposal based on what you submit.
6. Have City seen demonstrations of any Case Management System? If yes, what is the
name of the solution and vendor which provided the demonstration?
We have reviewed the following programs: eProsecutor from New Dawn Technologies,
PBK from Karpel, FileVine, and Spartan Technologies.
7. Did any vendor helped you prepare or gather requirements of this RFP? If yes, what is
the name of that vendor? And is this vendor eligible to bid on this RFP?
No vendor helped us prepare or gather information for this RFP.
1. Number of users?
We currently have 10 users. If we choose to use the software for our civil cases there
would be an additional 5 users.
2. The RFP indicates running SQL queries is a requirement. Our solution actually uses
SOQL or the Salesforce standard; queries in SOQL are very similar and there is a
function enabling users who are familiar with SQL to write SOQL queries. We are
implementing our solution for 2 other Montana agencies that are fine with this
approach.
This may work for us also.
3. Please describe what integrations the city expects to have implemented with the case
management solution so we can provide a better cost estimate, understanding there may
be others desired for the future.
As stated in our RFP we plan to integrate with the Bozeman Police Departments’
Zuercher program. We plan to upload data points from the criminal citation into our
case management system. Bozeman Police are installing Getac body cams and videos.
We need the CMS to be able to link to the videos in the Getac software.
