NOA to Tri State Truck & Equipment for Purchase of a 2020 Tandem Axle Truck Commission Memorandum REPORT TO: Honorable Mayor and City Commission FROM: Alex Nordquest, City Forester Kevin Handelin, Superintendent of Solid Waste Division SUBJECT: Award bid for the purchase of a 2020 Tandem Axle Truck with Grapple and dump box MEETING DATE: July 1, 2019 AGENDA ITEM TYPE: Consent RECOMMENTATION: Award bid to Tri State Truck & Equipment Inc.(low bidder) for the purchase of a 2020 Tandem Axle Truck with Grapple and Dump Box in the amount of $207,280. BACKGROUND: The approved FY19 CIP for the Tree Maintenance District identified the need for project FOR11, Log Loader & Truck, in the amount of $105,000. Also, the approved FY19 CIP for the Solid Waste Division identified a need for project SW46, Grapple Truck, in the amount of $200,000. Our two Divisions realized that we shared the need for the similar type of equipment and neither of us would require full 40 hour use per week of it. Upon further communication we realized that we could share the use of the grapple truck. This grapple truck is paramount in the operation of the Forestry Division. It would allow Forestry personal to remove tree debris safely within the City. The Solid Waste Division will be using this truck to remove bulky items, brush piles and encampment cleanups. Currently we manually remove bulky items and it is always challenging to perform encampment cleanups safely. We did receive a total of three bids and Tri State Truck was the low bidder. 30 ALTERNATIVES: As suggested by the City Commission. FISCAL EFFECTS: This equipment will be paid from Forestry and the Solid Waste Division enterprise fund. ADDRESS: PO Box 1298, Billings, MT 59103 PROJECT: Equipment Purchase CONTRACT FOR: One (1) 2020 Tandem Axle Truck with Grapple and Dump Box. You are notified that your Bid opened on May 15, 2019 for the above Contract has been considered. You are the apparent Successful Bidder and have been awarded a Contract for the: 2020 Tandem Axle Truck with Grapple and Dump Box. The Contract Price of your Contract is: Two Hundred Seven Thousand, Two Hundred Eighty Dollars ($207,280.00). A copy of each of the proposed Contract Documents accompany this Notice of Award. You must comply with the following conditions precedent within fifteen (15) days of the date of this Notice of Award, that is, by July 16, 2019. 1. You must deliver to the OWNER Two (2) fully executed counterparts of the Agreement including all the Contract Documents and Drawings. 2. You must deliver with the executed Agreement the Contract Security (Bonds) as specified in the Instruction to Bidders (Article 20), and the General Conditions (paragraph 5.01). 3. List other conditions precedent: You must deliver with the executed Agreement the Certificates of Insurance as specified in the General Conditions (Article 5) and Supplementary Conditions (paragraphs SC-5.04 and SC-5.06). Failure to comply with these conditions within the time specified will entitle OWNER to consider your Bid abandoned, to annul this Notice of Award, and to declare your Bid Security forfeited. Within ten (10) days after you comply with these conditions, OWNER will return to you two fully signed counterpart of the Agreement with the Contract Documents attached.
