MEETING DATE: June 24, 2019 AGENDA ITEM TYPE: Consent RECOMMENDATION: Authorize the City Manager to Sign the URD Term Contract Task Order DTN20-001. TERM CONTRACT BACKGROUND: Following a competitive RFQ process, a team led by Sanderson Stewart, also including A&E Architects, DCI Engineers, Walker Consultants, and CTC Technology and Energy, was awarded a term contract for urban renewal district professional services on October 22, 2018. TASK ORDER BACKGROUND: The scope for this task order shall include miscellaneous planning, engineering, analysis and design services to be provided on an as-needed basis at the request of the Downtown URD. This scope aligns with the FY2020 Downtown URD Work Plan: Professional Services Term Contract $75,000 budgeted The intent of this term contract is to allow the URD to nimbly respond to needs for professional services to implement this work plan and the Downtown Improvement Plan. It will also allow the URD to respond to unanticipated issues. The professional services will include but not be limited to engineering, architecture, urban planning, parking and fiber consulting. FISCAL EFFECTS: Sanderson Stewart will bill for its services on a time and materials basis according to the provided rate sheets. Funding to support this effort is included in the Downtown Urban Renewal District’s FY 2020 work plan and budget that was approved by the Downtown URD Board on May 29, 2019 and presented to the City Commission on June 3, 2019. This Task Order is dated June 12, 2019 between the City of Bozeman Downtown Urban Renewal District (URD) and Sanderson Stewart (Contractor). The following representatives have been designated for this Task Order: Downtown URD: Chris Naumann, Director Contractor: Danielle Scharf, Sanderson Stewart SCOPE OF WORK: The scope for this task order shall include miscellaneous planning, engineering, analysis and design services to be provided on an as-needed basis at the request of the Downtown URD. Sanderson Stewart shall submit invoices to the Downtown URD for work accomplished during each calendar month. The amount of each monthly invoice shall be determined on the “time-and-materials basis” according to the attached standard rate sheets for Sanderson Stewart and it’s subconsultants. Monthly invoices shall include, separately listed, any charges for services for which time charges and/or unit costs shall apply. The provisions of the Professional Services Agreement shall govern the Work.
