TO EDD19-001 with Sanderson Stewart for Economic Development Services Commission Memorandum REPORT TO: Honorable Mayor and City Commission FROM: David Fine, Urban Renewal Program Manager SUBJECT: Authorize City Manager’s signature on Task Order EDD19-001 with Sanderson Stewart for Professional Services on Time and Materials Basis MEETING DATE: May 20, 2019 AGENDA ITEM TYPE: Consent RECOMMENDATION: Authorize the City Manager to sign the Task Order EDD19-001 BACKGROUND: The Economic Development Department conducted a competitive qualifications-based selection process (RFQ) for a multidisciplinary team to support projects initiated by the Economic Development Department and Downtown Bozeman Partnership, LLC. We selected a team led by Sanderson Stewart. The selected team features expertise in Civil Engineering, Architecture, Structural Engineering, Landscape Architecture, Land Use Planning, Structured Parking Facilities, and Community Broadband Engineering. Sanderson Stewart’s proposing team includes expertise from A&E Architects, DCI Engineers, Walker Consultants, and CTC Technology and Energy. The proposed agreement allows the City and the Downtown Bozeman Partnership to procure services by written task order that fall within the solicited scope of services. The proposed Task Order allows the Economic Development Department to order services on an as-needed, not-to-exceed basis for smaller projects. UNRESOLVED ISSUES: None. 62 FISCAL EFFECTS: This Task Order is for professional services provided on a time and materials basis not-to-exceed $10,000. Funding for Task Order EDD 19-001 is available from the Economic Development Budget and, as appropriate, from the Downtown Urban Renewal District, Midtown Urban Renewal District, and Northeast Urban Renewal District. ATTACHMENTS: Task Order No. EDD19-001 63 City of Bozeman Urban Renewal District Term Contract Task Order Number #EDD19-001 PROJECT: On-Call Miscellaneous Engineering Services Issued under the authority of Urban Renewal District Term Contract Professional Services Agreement with Sanderson Stewart for Architectural and Engineering Services. This Task Order is dated January 21, 2019 between the City of Bozeman and Sanderson Stewart (Contractor). The following representatives have been designated for the work performed under this Task Order: City: David Fine, Urban Renewal Program Manager Contractor: Danielle Scharf, Sanderson Stewart SCOPE OF WORK: The scope for this task order shall include miscellaneous design services to be provided on an as-needed basis at the request of the City of Bozeman Economic Development Department. COMPENSATION: Sanderson Stewart will bill for its services on a time-and-materials basis not to exceed $10,000.00. Sanderson Stewart shall submit invoices to the City of Bozeman for work accomplished during each calendar month. The amount of each monthly invoice shall be determined on the “time-and-materials basis” according to the attached standard rate sheets for Sanderson Stewart and it’s subconsultants. Monthly invoices shall include, separately listed, any charges for services for which time charges and/or unit costs shall apply. The provisions of the Professional Services Agreement shall govern the Work.
