SUBJECT: Addendum to Professional Services Agreement with Hydrologistics LLC
for Irrigation Services for Public Right-of Ways

RECOMMENDATION: Authorize the City Manager, or his designee, to sign an Addendum to
the Professional Services Agreement with Hydrologistics Irrigation LLC (Contractor) for
Irrigation Services for Public Right-of- Ways.
BACKGROUND: The City of Bozeman entered into an agreement with Contractor April 20,
2015 for irrigation services. The contract expired on December 1, 2015. Section 30 of the
Professional Services Agreement allows for extension of the contract not to exceed three (3)
years. The agreement has already been extended once and staff is now requesting a final
extension with an expiration of December 1, 2017. This extension provides for continuity of
work flow and benefit to the City from experience of irrigation systems obtained by said
Contractor.
UNRESOLVED ISSUES: There are no known unresolved issues.
ALTERNATIVES: As suggested by the Commission.
FISCAL EFFECTS: The funds for the extended agreement are available in the Public Works
budget in the Streets Division.

Scope of Services
Hydrologistics Irrigation
I. Introduction
This document outlines the tasks to be completed by Hydrologistics Irrigation LLC,
(hereinafter “Contractor”) for the start up, winterization and maintenance of irrigation
systems owned or otherwise the responsibility of the City of Bozeman (hereinafter
“City”) between April 20, 2015 and December 1, 2015.
II. Description
The subject properties are owned by or the responsibility of the City and currently
comprise the following locations:
a. City Shops Complex: 814 N. Bozeman Ave.
b. Water Reclamation Facility: 2245 Springhill Road
c. Lower Yards and Sand Shed: 1812 N. Rouse
d. Valley Center Road between 19th and 27th
e. North Cottonwood Road adjacent to JC Billion Property
f. S. 8th Avenue between Main and Harrison
g. Kagy Boulevard between Willson and 7th Avenue
h. Oak Street between 25th and New Holland Street
i. North 7th Avenue between West Villard and West Short
Streets and between West Peach and West Aspen Streets
j. North 27th Street between Baxter and Tscahche Streets
k. South 27th between Kirk and Blackwood Streets
III. Proposed Scope of Work
The proposed scope of work is intended to cover all start ups, winterizations,
maintenance and repairs to the in-ground irrigation systems at the locations set forth
above in order to keep the systems in proper working condition, to provide the
necessary amount of water to reach and maintain satisfactory appearances of the
landscapes while eliminating wasteful applications of water to maximize water
efficiency.
The services shall be performed in three phases. Phase One will be completed
between April and June 2015. Phase Two will occur during June and October 2015.

Phase Three will occur between October and November 2015. The City shall
coordinate with Contractor to provide all necessary and reasonable access to in-
ground irrigation systems.
Phase One: Spring Irrigation Start-Ups (April-June, weather dependent)
a. Check performance of valves and sprinkler heads and clean out debris
b. Run system to check irrigation coverage
c. Make all adjustments and nozzle changes as needed
d. Program irrigation controllers
The total cost for Phase One shall not exceed: $1,000.00
Phase Two: Maintenance and Repair (April – December)
a. Periodically check valves and sprinkler heads and adjust and clean out debris
as needed.
b. Readjust irrigation controller as needed based on seasonal watering
requirements
c. Identify and repair irrigation sprinkler components as needed
The total cost for Phase Two shall not exceed $1,000.00 without City’s written consent.
Any single repair project in excess of $200.00 shall require Contractor to notify City’s
representative for approval. The rates for Phase Two shall not exceed $50.00/hour for
labor. All materials shall be billed at a 20% discount from retail pricing.
Phase Three: Winterization (October-November, weather dependent)
a. Clear all irrigation lines (blow-out with air compressor)
b. Set backflow assemblies to winterized position or remove completely (as
needed)
c. Deactivate controllers
Total costs for Phase Three shall not exceed $1,200.00
Project Labor for Phases One Two and Three: Labor necessary to perform the work
outlined herein shall not exceed $50.00/hour and materials shall be billed at a 20%
discount from retail pricing.
Contractor guarantees all work to City’s satisfaction. Contractor will make any necessary
changes to the agreed upon work at no cost to City if City is not 100% satisfied. Claims
must be made within 72 hours to be considered for the guarantee.
Total Project Costs: $3,200.00
