SUBJECT: 2016 City Shops Paving Project - Notice of Award
MEETING DATE: August 8th, 2016
AGENDA ITEM TYPE: Consent
RECOMMENDATION: Authorize the City Manager to sign the Notice of Award to Big Sky Asphalt,
Inc. for the Total Combined Schedule 1 and Bid Alternate 1 Bid in the amount of $256,268.90.
BACKGROUND: Attached is a copy of the Notice of Award for the above referenced project. The project generally involves storm drainage improvements, site excavation, placing and grading road base
materials, and paving the east half of the city shops complex at 814 North Bozeman Avenue.
The contract is to be completed within 30 days of the issuance of the notice to proceed.
Bids for the above-referenced project were opened on July 26, 2016 with 4 bids being submitted. The
lowest schedule 1 base bid was submitted by Big Sky Asphalt, Inc. in the amount of $237,768.90. The Bid Tabulation for the project is attached.
UNRESOLVED ISSUES: None
ALTERNATIVES: Disapprove
FISCAL EFFECTS: This project will be paid for with approved funding from the FY17 capital
improvements plan as follows: Water Fund: $75,474.70
Sewer Fund: $75,474.70 Streets Maintenance Fund: $75,747.70
Parks General Fund: $29,844.80

CONTRACT FOR: 2016 CITY SHOPS PAVING PROJECT
You are notified that your Bid opened on July 26, 2016, for the above Contract has been considered. You are the
apparent Successful Bidder and have been awarded a Contract for the: 2016 City Shops Paving Project. The Contract
Price of your Contract is: __Two Hundred Fifty Six Thousand Two Hundred Sixty Eight & 90/100__ Dollars
($256,268.90). Your contract work includes Schedule 1 and bid alternate number 1.
Four (4) copies of each of the proposed Contract Documents (except Drawings) accompany this Notice of Award.
Three (3) sets of the Drawings will be delivered separately or otherwise made available to you immediately.
You must comply with the following conditions precedent within fifteen (15) days of the date of this Notice of Award,
that is, by ___________________.
1. You must deliver to the OWNER Four (4) fully executed counterparts of the Agreement including all the
Contract Documents and Drawings.
2. You must deliver with the executed Agreement the Contract Security (Bonds) as specified in the Instruction to
Bidders (Article 20), and the General Conditions (paragraph 5.01).
3. List other conditions precedent:
You must deliver with the executed Agreement the Certificates of Insurance as specified in the General
Conditions (Article 5) and Supplementary Conditions (paragraphs SC-5.04 and SC-5.06).
Failure to comply with these conditions within the time specified will entitle OWNER to consider your Bid abandoned, to
annul this Notice of Award, and to declare your Bid Security forfeited.
Within ten (10) days after you comply with these conditions, OWNER will return to you two fully signed counterparts of
the Agreement with the Contract Documents attached.
